CRM & Pipeline · Dental
Clarity on what's in your pipeline and what's moving, without a 40-page report.
The reality
A dental practice runs two pipelines a generic CRM doesn’t separate: new patients who never scheduled after a call, and existing patients sitting on an unscheduled treatment plan quoted months ago and never booked. The system tracks both, flags recall patients coming due for a hygiene visit before they lapse to a competitor’s postcard, and surfaces the open treatment-plan balance so a front desk with forty other things to do doesn’t have to remember it by hand. It sits alongside Dentrix, Eaglesoft, or Open Dental. It doesn’t replace them.
What we fix
The average dental patient is worth $1,200-$2,000 per year and stays with a practice for 5-10 years. A single new patient family represents $5,000-$15,000 in lifetime value. A typical practice with a slow, outdated site loses 5-10 patient families a month — leaving $120K-$300K/year on the table.
New patient forms that nobody finishes
Long, clunky intake forms buried three clicks deep. Patients start filling them out, get frustrated, and leave. Every abandoned form is a patient your competitor gets instead.
No online scheduling — just a phone number
60% of appointment searches happen after business hours. If your site's only call-to-action is 'Call us,' you're invisible to everyone searching at 9pm on a Tuesday.
A website that looks like it was built in 2015
Template sites with stock photos of smiling models don't build trust. Patients judge your practice by your online presence before they ever walk in the door.
Zero visibility in local search results
Your competitors show up when someone searches 'dentist near me.' You don't. Poor SEO, missing Google Business optimization, and no local content strategy mean you're paying rent on a website nobody finds.
What you get
Every inquiry lands in a stage. You see what's new, what's quoted, what's booked, and what's closed. No leads forgotten.
Quotes are tracked from sent to accepted. Jobs are tracked from booked to invoiced. Nothing slips between the cracks.
Monthly summary: inquiries this month, where they came from, what closed, what's open, what we're moving next. No jargon, no fluff.
Real-time access to your numbers any time you want. Not a report you wait a month for. A window you can open right now.
FAQ
Dental website design runs $997 to $2,997/mo on a 12-month commitment, with no separate build fee and a one-time activation equal to one month. We publish three tiers: Starter ($997/mo) is the core system for a single-location practice without the deeper automations. Signature ($1,297/mo, full management) is the recommended standard — HIPAA-compliant intake, PMS-integrated scheduling, review generation, local SEO, ongoing management. Platinum ($2,997/mo) is for businesses whose system connects to an outside data source, or that run more than three locations. For comparison, industry pricing guides put custom dental sites at $2,500–$8,000 with a small agency, $10,000–$25,000 with a mid-size marketing company, and $15,000–$40,000+ with a large healthcare-marketing firm. Yes. We integrate with Dentrix, Eaglesoft, Open Dental, Curve Dental, and other major dental PMS platforms. Online scheduling feeds your calendar. New patient forms flow into your system. Your front desk workflow doesn't change — it just gets more patients.
Platform services like those give you a template inside their system — limited customization, shared infrastructure, a site that looks like hundreds of other dental practices. We build a custom site that's yours: unique design, dedicated hosting, and a managed service that adapts as your practice grows.
Dental practices leave with everything a dental practice needs to keep running. Codebase, domain, HIPAA-compliant hosting account (transferred to your name, not ours), the full patient database including every completed intake form (exported in HL7 or CSV for import into your next PMS), all photography and video assets with signed model releases, every drafted piece of content, and the Google Business Profile management access. We also disconnect ourselves cleanly from the PMS integration on your timeline — not ours. The commitment runs twelve months, with a performance exit if we stop delivering, and we assist with migration for 14 days after cancellation, including sitting on calls with the incoming team to answer PMS-integration questions. Ownership is in writing on page 1 of the proposal, and so is what happens if we stop delivering.
